Setup & Maintenance

Paperless-ngx requires running a Docker Compose stack: the application itself, PostgreSQL, Redis, and optionally Gotenberg (for Office file rendering) and Tika (for document conversion). Initial setup takes 30 minutes to several hours depending on your Linux and Docker experience. Users on the Paperless-ngx forums regularly report spending hours troubleshooting SSL certificates, Gotenberg rendering failures, and database migrations after version upgrades.

Veluvanto is a managed web application. You create an account, upload a document, and the AI processes it. There is no server to provision, no Docker stack to maintain, and no update schedule to manage. Infrastructure concerns — backups, uptime, security patches — are handled on our end.

AI & Organization

Paperless-ngx includes ML-based tag suggestions trained on your document library. These improve over time but require a significant number of documents before they become reliably useful. The system does not use generative AI — it cannot read a contract and extract a due date or sender name without manual configuration or custom classifiers. Users commonly report that auto-tagging does not work out of the box and requires extensive custom training to become accurate.

Veluvanto uses Google Gemini to read each document on upload. It extracts the document type, sender, recipient, dates, amounts, and other key metadata automatically — with no prior training required. A freshly uploaded document is tagged, categorized, and fully searchable within seconds.

Mobile & Sharing

Paperless-ngx has no official mobile app. Third-party apps like Paperless Mobile exist but are community-maintained and not supported by the Paperless-ngx project. Users report that search functionality is broken in some Android app versions. Sharing documents outside your local network requires setting up a VPN, Tailscale, or a reverse proxy with a valid SSL certificate — all of which require additional configuration and maintenance.

Veluvanto is a responsive web application that works in any mobile browser without installing anything. You can invite family members or colleagues to a shared workspace by sending an email invitation — no VPN or server configuration required. The experience is identical on a desktop browser and on a phone.

Frequently Asked Questions

Can I migrate from Paperless-ngx to Veluvanto?
Yes. Export your documents from Paperless-ngx (the export includes original PDFs and a JSON metadata file), then upload the PDFs to Veluvanto. The AI will re-analyze each document and rebuild the metadata automatically. There is no automated migration tool yet, but for most users the re-upload process takes less than an hour.
Is Veluvanto open-source?
No. Veluvanto is proprietary software. If open-source licensing is a hard requirement, Paperless-ngx (GPL-3.0) is the right choice. Veluvanto is a managed service — the tradeoff is that you do not get access to the source code, but you also do not have to run or maintain any infrastructure.
Where is my data stored?
Veluvanto stores all data in EU data centers — documents on Backblaze B2 in Amsterdam, application servers in Germany and Finland. All data is encrypted at rest and in transit. With Paperless-ngx, your data is stored wherever you run the server — EU residency is your own responsibility.
Does Veluvanto work offline?
No. Veluvanto is a cloud application and requires an internet connection. If offline access is critical — for example, in a home network without reliable internet — Paperless-ngx running on a local server is a better fit.
How does pricing compare?
Paperless-ngx is free to download and run. Your costs are server hardware or a VPS (typically €5–16/month for a small cloud server), electricity, and your own time. Veluvanto offers a free tier (1 GB storage, 100 AI credits per month) and paid plans from €9/month excl. VAT. For many users, the time saved on setup, maintenance, and troubleshooting more than justifies the subscription cost.
